How to use moving boxes? Weight distribution, sealing and labelling methods

Packing

Key answers

Boxes should be allocated according to the weight and shape of the items, not simply by size. Split heavy items into separate boxes, fill gaps securely, and record the contents and destination with the box number.

First confirm the internal carton size; an estimate is not the same as the actual number of packed boxes

The default internal dimensions for the box quantity tool on this website are 21 inches long, 14 inches wide and 15 inches high, referring to usable internal space, not the external dimensions of the box. If you are using another style, enter the actual internal dimensions in the tool, and do not treat different box types as having the same capacity.

The photos or item list can only help with the estimate. The actual number of boxes will still depend on shape, protective materials and weight distribution. Do not force items to fit the estimated number of boxes, or pack all heavy items of the same type into one large box.

Pack heavy items into smaller boxes; only lighter items should be considered for larger packaging

Books, documents and tableware should be packed into boxes in batches, while clothing and bedding should be arranged according to shape and protection needs. Check the load-bearing marking and condition of the box itself; you cannot set one weight limit that applies to every box size based on dimensions alone.

  • Do not overfill a large box with books
  • Place heavier items at the bottom of the box and lighter items on top
  • Do not place fragile items under heavy items.
  • If the box is damp, damaged or misshapen, it should be replaced

Seal both the box base and top properly

First check the bottom flaps and seams, then secure the main seams and both ends with suitable packing tape; if needed, reinforce according to the carton and item condition. If only the bottom is folded and no tape is applied, it may come loose when lifted, and cords or straps must not be used in place of a properly sealed box bottom.

After packing, the box opening should close properly, without bulging or collapsing inward. Fill gaps securely with suitable cushioning material; do not just stuff one layer of paper on top and leave plenty of space for movement. After sealing, gently check whether there is any obvious shifting noise.

Write the box number, room and intended use on the side

Use an easy-to-recognise label format, such as “Bedroom-03/bedsheets”, and also mark whether it is for the new home, storage, or first-night use. Once boxes are stacked, the top may no longer be visible, so side labels are more practical than writing only on the top.

The digital list should match the box number, brief contents and destination; boxes containing personal data may use codes, and document contents should not be disclosed. Family members and the new home contact should use the same version, and newly added boxes should be noted immediately, to avoid ending up with only an approximate box count at the end.

Check again before and after the move

Place completed boxes together in a spot that does not block the passage. Fragile boxes should not support other heavy items. If boxes need to go into storage, also note their dryness and the order in which they should be retrieved; frequently used items should be arranged separately.

Before the move, provide the actual number of boxes and any special contents. When arriving at the new home or collecting items from storage, check them in by box number. Estimation tools cannot replace an on-site packing check. If you have questions about load-bearing items, fragile goods or special items, please enquire first.

Frequently Asked Questions

What size does the box estimation tool use?

Default box internal dimensions are 21 in long, 14 in wide and 15 in high. If using another type, enter the actual internal dimensions; do not treat external dimensions as usable capacity.

How heavy can one box be at most?

Judge according to the box’s load label, condition and the nature of the items; there is no single weight limit that applies to all cartons. Heavy items should be packed in separate boxes, not put into one large box just to reduce the number of boxes.

If the tools are estimated at ten boxes, will everything definitely fit?

No. The estimate is affected by item shape, protective materials and weight distribution. After packing, it must be checked again, and items must not be overpacked just to match a number.

Is it enough to stick packing tape only on the box opening?

The box base must also be properly secured. First check the seams and box body, then use suitable tape to seal the bottom and top, and reinforce as needed; do not just fold up the box base.

How should I label items for easy checking?

Mark the side with the room, box number and brief contents, and separately list the destination and electronic inventory. Confidential documents may use numbers, without openly writing sensitive content.
