MOVING GUIDE

Office relocation guide: item inventory, equipment and moving process

Moving planning

Key answers

From the coordinator and seat numbers to equipment handover, break office relocation into checkable tasks to avoid staff, data and items going missing separately.

First appoint a coordinator and the person responsible for each task

One coordinator communicates with the moving company and both management offices, then assigns responsibilities for documents, computers, furniture and preparation at the new address. Each task should have a completion date and a way to confirm it, to avoid different departments changing the moving list separately.

First confirm the handover date of the tenancy, renovation inspection date and the date when the new office can be used. Separate departments that must keep operating from processes that can pause, then decide whether to move everything at once or in phases; service hours and arrangements must be confirmed in advance.

Count by area, not just the number of office desks

The inventory should cover desks and chairs, filing cabinets, photocopiers, storage racks, meeting equipment, pantry items and boxed documents. For large or delicate equipment, take separate photos and list the model, dimensions and known weight so the team can assess the moving method.

  • Keep, disposal and storage items marked differently
  • Keys, access cards and cabinet locks are managed by designated staff
  • Confidential documents sealed and numbered, with a designated recipient rather than openly stating the contents
  • Update the same list when items are added or removed

IT, network and specialist equipment arranged separately first

Moving equipment does not mean backup, power-off, disconnection and reconnection, or reconfiguration are included. IT or equipment suppliers should confirm data backup, shutdown sequence, transport locking and on-site testing before you arrange handover with the moving team.

The power supply, network, rack and cabling positions at the new address should be confirmed first. Servers, UPS, batteries and special equipment must be declared separately with type, weight and environmental requirements; they cannot be treated as ordinary cardboard boxes or office desks within the service scope.

Use the floor plan and seat numbers to arrange delivery

Mark areas, rooms and seat numbers on the new office floor plan, and use the same numbering for boxes and furniture. Labels should be attached to at least one side to avoid only seeing the top of the box when stacked, making identification impossible.

Before the move, check the size and load limit of the goods lift, booking time slot, parking arrangements and any access pass requirements. Consider the entire route from unloading the van to the destination, including platforms, ramps and transfers between different floors.

Phased checking and allow buffer time for resuming operations

First count the essential equipment, confidential documents and main work areas, then deal with spare items and general documents. Each responsible person should check the items against the numbers; if any parts are missing or the appearance is abnormal, take photos and pass them to the coordinator for follow-up immediately.

After the move, network, equipment and office area testing still need to be arranged. Do not assume that once the goods have arrived, all systems are ready to resume work. Allow time for tidying and testing, and confirm whether any items were left behind at the old premises, or whether dismantling or handover works are still needed.

Frequently Asked Questions

What should be done first for an office move?

First appoint a coordinator, confirm the available dates at the old and new premises, then inventory the items by department and area, and assign IT, documents and furniture work to clearly designated persons.

Does moving computers and servers include disconnection and setup?

It is not automatically included. Who is responsible for backup, shutdown, disconnection/reconnection, setup and testing must be confirmed with IT, the supplier and the company before moving.

How should confidential documents be labelled?

Use box numbers and designated handover recipients, and keep the electronic list separately; do not publicly write sensitive document contents on the outside of boxes, and have the relevant person-in-charge verify the handover.

Can the move be split into batches or arranged at different times?

First state which departments must keep operating and any building time restrictions. The company will confirm whether arrangements can be made and how to quote based on the amount of items, route and schedule.

Can work resume immediately after the items are delivered?

Items arriving does not mean the network and equipment are ready to operate. Time still needs to be set aside for connection, testing and tidying the work area, before each responsible person confirms.
